Volunteer Coordinator

The role of the Seaview’s Volunteer Co-ordinator is to take lead responsibility for recruiting and managing a team of volunteers, who will provide a range of support to complement Seaview’s services, with the aim to utilise peoples’ skills, experience and motivation to help support Seaview’s aims for the benefit of our community.

The post-holder will create opportunities to develop the services at Seaview by harnessing the existing skills, networks and experiences of people who have offered their time.

Job Title: Volunteer Coordinator

Responsible to: Service Manager

Annual Salary: £ 15,584 actual

Hours: 22.5 per week 

Holidays: days per year + statutory days pro rata

Pension: 4% employee + 4% employer contributions (8%) 

Funding: 12 months with possibility of extending

 

Key Activities

• Communicate with service coordinators and senior managers to establish volunteer opportunities to meet the service needs.

• Oversee and manage potential and actual volunteer data using the digital CRM.

• Complete informal volunteer interviews to establish whether both parties feel their skills, experience and attitudes align with the volunteer opportunities available and Seaview’s ethos.

• Ensure that volunteer agreements, inductions and policies are communicated.

• Ensure that any training needs are met and monitored.

• Coordinate volunteer schedules and ensure they are communicated to the relevant people accordingly.

• Assign responsibilities and ensure that expectations and limitations are communicated.

• Provide line management supervision and direction to a small team of volunteers to ensure that services are delivered to a high quality. 

• Take the lead on ensuring all data, including risk data, risk assessments, safeguarding processes, serious and untoward incidents and other essential information is recorded, communicated and acted on in a timely fashion where appropriate to the volunteer role. 

• Report to Service Manager on all operational matters of concern.

• Ensure that the service is being delivered in accordance with Seaview’s policies and procedures with a clear focus on risk management including infection control. 

• Attend key operational meetings with service coordinators to ensure consistent line management.

• Seek out and manage promotional opportunities or partnerships to support the volunteering opportunities within Seaview.

• Ensure responsiveness to the support needs of vulnerable clients by working collaboratively, monitoring outcomes and seeking appropriate resolutions with regards to safeguarding, housing and criminal justice for example.

• Provide monthly performance reports to the Service Manager.

• To work in accordance with organisational policies and procedures at all times.

• The ability to deal with challenging behaviour with understanding and professionalism and encourage others to do the same.

• To reflect on own practice through supervision and support.

 

Person Specification

• Previous experience of supporting others in a supervisory or leadership capacity.

• Previous experience working with individuals with multiple and complex needs, including substance misuse and work with offenders and ex-offenders.

• A broad understanding of the issues affecting people experiencing or vulnerable to mental health, addiction, poverty or homelessness/insecure housing.

• An understanding of the barriers which prevent people from accessing services and support.

• Experience of multi-agency working and the ability to liaise with both statutory and voluntary sector partners.

• Excellent communication skills, both written and verbal.

• The necessary skills to monitor service activity and the ability to create and maintain a focus on achieving positive outcomes. 

• Self-management: ability to prioritise and manage a busy and ever changing workload.  This will include co-ordinating diary commitments to meet service demands, and proactive decision making skills with the ability to show initiative in emergency situations.

• A thorough understanding of client confidentiality and data sharing protocols.

• Understanding of a range of psychological interventions and ability to coach others.

• Excellent IT skills and experience of producing and providing clear, concise records of intervention and statistical information.

• Ability to travel across Hastings, and throughout East Sussex, on occasions, when essential.

• Willingness and ability to work unsociable hours, where required.
